How to Choose the Right Catering Equipment Maintenance Provider

The walk-in refrigerator starts warming at 4 p.m., just as the dinner prep begins. One technician promises to arrive tomorrow morning. Another can come tonight but will not discuss emergency rates, replacement parts, or who is actually qualified to work on the system. A third provider costs more on paper and has a service area that includes your facility, plus technicians certified for refrigeration and electrical work.

That decision is not simply about finding someone who can repair a machine. Catering operations rely on a chain of connected systems: refrigeration, cooking equipment, ventilation, hot holding, ice production, water, gas, steam, and electrical controls. A maintenance provider that understands only one part of that chain may fix the immediate fault while missing the condition that caused it.

The strongest choice usually emerges from four questions: Can the provider handle the equipment you operate? Can it reach you quickly enough? Does it understand food-safety obligations? And will its contract make costs and responsibilities clear before an emergency occurs?

Credentials That Match the Equipment

Start with the systems that carry the greatest operational and safety risk. For refrigeration work, verify that the provider’s technicians hold EPA Section 608 certification. This certification is required for technicians who service equipment containing regulated refrigerants, and it does not expire. The designation matters because refrigeration work involves more than replacing a failed component; improper handling can damage the system, release refrigerant, or leave a kitchen with a recurring leak.

EPA Universal certification is especially useful when a provider services mixed refrigeration equipment. It covers small systems as well as high-pressure and low-pressure systems, giving a technician broader authorization than a limited category credential. A company may still assign different technicians to different jobs, so ask to see the certification of the person likely to visit your site rather than accepting a general statement about the business.

Refrigeration is only one part of commercial kitchen maintenance. A provider may also need to diagnose three-phase electrical faults, gas burners, steam generators, thermostats, control boards, pumps, and safety interlocks. This is where company-level accreditation can provide another useful screening point. A CFESA-certified company and technician are tested across electrical, gas, steam, and refrigeration work, and those certifications remain valid for five years.

That does not make certification a substitute for experience with your specific equipment. A technician who regularly services gas ranges may have little practical familiarity with a particular combi oven controller or an older blast chiller. Give shortlisted providers an equipment list with manufacturer names, model numbers, approximate ages, and the problems that occur most often. Their response will reveal whether they have a serious process or are simply selling generic coverage.

Ask how they handle parts, too. “We can repair it” is not the same as “we stock the common ignition modules and can source the control board within two business days.” For critical assets, the provider should be able to distinguish between a temporary workaround and a repair that restores safe, reliable operation. I would rather hear that a part will take five days and receive a workable contingency plan than be promised an unrealistic same-day fix.

The provider’s reporting habits deserve attention. After a visit, you should receive a clear account of the fault, the work performed, parts installed, unresolved risks, and recommended follow-up. Vague invoices make it almost impossible to compare recurring failures or decide when an aging appliance has become more expensive to maintain than replace. A useful maintenance record turns scattered service calls into operational data.

A good provider will also ask questions before quoting. How many meals are produced daily? Which appliances are mission-critical? Does the kitchen operate overnight? Are there separate storage sites or mobile catering units? A provider that never asks about the working environment may not be equipped to design a meaningful maintenance schedule.

Location is another credential in practical terms. A technically excellent company that is 200 miles away may be a poor emergency partner. Check the actual service territory, not just the address on the website or the fact that a company serves your state. The current CFESA service directory lists 554 service entries across the United States, Canada, Mexico, and the United Kingdom, but the number is useful only when narrowed to your location and equipment category.

Ask whether the listed office sends its own technicians or subcontracts work to another company. Subcontracting is not automatically a problem, but it affects accountability, response times, insurance documentation, and the standard of workmanship. The contract should identify who is responsible if the subcontractor damages equipment, misses a response window, or performs work that fails inspection.

Contracts, Compliance, and the Cost of Downtime

A maintenance agreement should define more than a discount on hourly labor. It should state the response time for ordinary calls, urgent calls, and after-hours emergencies. It should explain whether the clock starts when you leave a voicemail, open a ticket, or speak with a dispatcher. Those details can make a dramatic difference during a refrigeration failure.

Pricing needs the same precision. Look for separate terms covering labor, travel, diagnostics, overtime, emergency dispatch, consumables, and replacement parts. Some providers offer a low monthly fee and then charge heavily for every visit. Others include preventive inspections but bill separately for nearly all corrective work. Neither model is inherently wrong; the problem is failing to understand which costs are included until the first breakdown.

The agreement should also describe preventive maintenance in concrete terms. “Regular service” is too vague. The schedule might include condenser cleaning, door gasket inspection, temperature verification, burner testing, drain checks, filter replacement, lubrication where appropriate, and electrical connection inspections. The correct tasks depend on the appliance, manufacturer requirements, operating conditions, and local rules.

Food safety must be written into the scope rather than left as an assumption. The contract should expressly cover compliance with the FDA Food Code 2022, which remains the latest complete edition of the code. That wording helps connect equipment maintenance with temperature control, cleaning, storage, and the condition of food-contact surfaces.

The provider should also be prepared to work with the FDA Food Code supplement issued on November 4, 2024. The supplement added rules concerning the sanitizing of food-contact and operational surfaces. A maintenance company does not replace the role of a certified food protection manager or health inspector, but its work can affect whether equipment surfaces, seals, drains, dispensers, and adjacent operating areas can be cleaned and sanitized properly.

This is particularly relevant for ice machines, slicers, dishwashing systems, refrigerated prep tables, and equipment with hidden seams or difficult-to-access reservoirs. A technician who focuses only on mechanical performance may overlook a design defect, damaged gasket, blocked drain, or buildup that creates a sanitation problem. Include inspection of those areas in the service scope when they are relevant to your operation.

Insurance and licensing should be verified before work begins. Ask for current proof of general liability coverage, workers’ compensation coverage, and any required trade licenses. Gas and electrical work can create serious consequences beyond a repair bill, so do not treat documentation as administrative clutter. It is part of the risk assessment.

References are most useful when they resemble your business. A hotel banquet kitchen, a school cafeteria, a food truck fleet, and a high-volume restaurant may all use commercial equipment, yet their operating patterns are different. Ask references how the provider performed during a difficult failure, whether invoices matched estimates, and whether the same problems kept returning after service.

A short paid assessment can be more revealing than a polished sales presentation. Have the provider inspect a few high-value assets and produce a prioritized report. The report should separate urgent safety or compliance issues from ordinary wear and long-term efficiency improvements. If every recommendation is marked urgent, the provider may be selling repairs rather than managing equipment.

Compare providers by expected annual cost, not by the cheapest call-out rate. Suppose one company charges less per visit but arrives slowly, uses more expensive emergency labor, and cannot source common parts. Another charges more for planned maintenance but catches failing components before a weekend event. The second provider may produce a lower total cost once spoiled inventory, cancelled service, overtime, and lost customer confidence are included.

Before signing, identify the equipment that cannot fail without disrupting service. Assign each item a response target, a temporary operating plan, and an approval limit for repairs. Decide who can authorize emergency work when the general manager is unavailable. These small clauses matter because a kitchen rarely breaks down at a convenient time.

The best maintenance provider becomes familiar with the rhythm of the operation: which refrigerator fills first, which oven runs hardest, which ice machine struggles in summer, and which control panel staff keep resetting instead of reporting. That knowledge is what turns maintenance from a series of frantic repairs into a more predictable part of running the kitchen.
